Campus Representative - Secretary

The role of the Parents’ Association (PA) Secretary is to record minutes of all West Campus meetings.  This role is also responsible for booking the PA and PAW meeting rooms, coordinating and communicating meetings, agendas and minutes, maintaining the list of volunteers and maintaining PA reports/manuals.

Key Duties:

  • Coordinate meeting logistics for PAW and other PA Campus meetings. This includes: refreshments, making room reservations and distributing the agenda and minutes as appropriate on a timely basis and posting approved information on the website. 
  • For the PAW meetings (three times a year), coordinate meeting reminders on West Campus Communiqué with the Principal, the PA website and PA West Campus newsletter to ensure all PA members on West campus are aware of the upcoming PAW meeting at least one week prior to meeting.
  • Provide agenda for each PAW and Campus Representative meeting at least two days prior to meeting.
  • Submit draft meeting minutes to Campus Coordinator for review no later than one week after the meeting, and then forward or post (in case of PAW) minutes to all entitled recipients for approval at following meeting, no later than one week before that meeting. 
  • Post the approved PAW meeting minutes on the PA website once they have been passed at the PAW meeting making amendments/changes as necessary.

Other PA Duties:

  • As a member of the Campus PA team, act as an ambassador and resource for parents and administration to encourage an inclusive and cooperative TFS community.
  • Attend all monthly PA Campus and PAW meetings, participate in discussions.
  • Provide counsel to and support for the PA Campus Coordinator
  • Remain in good standing on the PAC and maintain strict adherence to the TFS Code of Conduct and PA Constitution.

Key skills/abilities/experience:

  • Prior experience with the PA is an asset.
  • Solid organizational skills, and the ability to provide guidance, teamwork and leadership to the PA Campus team and the PAW.
  • Must have strong communication skills, and ability to pursue a confidential and diplomatic approach with all TFS stakeholders.


  • The post is for one year and can be renewed for a maximum of four consecutive years.
  • The time commitment required is on average 8 - 10 hours a month which includes, preparation of work and attendance at various meetings The role is cyclical in nature; some months may be busier than others based on the time of year.
